Overview

The Director of Special Events (DOSE) will oversee strategic planning and execution of event management and design for Barnsley Resort special events taking into account the guest and visitor demographic, seasonality, resort location, and unique property characteristics. The DOSE will work in conjunction with internal teams such as Catering and Conference Services, Food & Beverage, Director of Membership, and Director of Recreation to create the monthly event activations calendar that includes signature events for desired date patterns and holidays. This position will report to the Director of Sales and Marketing as well as the resort President.

This position is responsible for collaborating with commercial leaders to identify select day/date patterns where elevated special event programming will increase revenue and drive resort guest demand. The DOSE will work closely with the property marketing and operations teams, as well as Davidson Corporate, to identify event production and sponsorship partnerships to offset event costs, align with the brand culture, and ensure the success of event ROI targets. The Dose will oversee complete event management of all resort event aspects and will work alongside other resort directors to execute successful event experiences. Event marketing and communication is critical, and the DOSE will work closely with the property’s event committee to execute proper marketing campaigns to drive awareness and event participation. Communicating guest’s needs to all departments is an essential function of this position. The goal is to create and manage the event with every attention to detail and extraordinary service standards to ensure our guests and visitors create cherished memories. This includes heavy interaction with clients and vendors, conducting site and planning visits. Daily administrative duties include Event Planning support as outlined below.

 

This position will demonstrate exceptional organizational and interpersonal skills, along with a passion for creating unforgettable experiences for our guests and visitors. The Director of Special Events is responsible for developing and coordinating the event calendar by establishing markets, goals, and advertising techniques; managing pricing policy of the property, ensuring proper payments for services rendered; developing and maintaining solicitation responsibilities; and reviewing event contracts.

Responsibilities

Essential Duties/Tasks/Responsibilities:

  • Develop signature events – with attention to detail, seasonality, and guest demographic
  • Create and own the calendar of special and signature events
  • Planning and Executing all Banquet Event Orders (BEO) for assigned events and management of scheduled events.
  • Communicate with all resort partners via established BEO and Resume Meetings to ensure successful events.
  • Annual list of Signature Events:
    • Additional Programing Associated with Signature Events, Member Events, & Holiday Programming
    • Partner with Marketing to promote Signature Events
  • Conduct site visits or plan visits as needed
  • Verify availability of space for meetings and meals
  • Plan meal menus, meeting needs, etc.
  • Execute BEO’s from beginning to end, to include getting signed BEO’s and guarantees by appropriate dates
  • Arrange billing details and distribute in a timely manner
  • Communication
  • Review and distribute BEO’s to appropriate departments and personnel
  • Complete an Event Resume for team members and distribute
  • Attend weekly Resume and BEO meetings
  • Arrange for internal pre- or post-convention meetings as required
  • Communicate any special requests or concerns to Resort Team Members
  • Continued Guest Contact
  • Reach out to all event contacts and/or planners to ensure satisfaction and to convey our gratitude
  • Review detailed daily billing to ensure accuracy on departure
  • O.I. for all events, budget with assumption of expected outcome
  • Complete Events Summary for thorough understanding of wins and losses & how we measure success
  • Establish Social Media & Influencer Posts

Barnsley Special Events

 

Full design and onsite event management of all Barnsley Special Events. This will include monthly event activations to complement the current daily programming schedule, as well as Signature Events of larger scale and complexity.

Essential Duties/Tasks/Responsibilities: 

  • Facilitate and lead all initial planning with defined event planning committee
  • Overall strategic event plans to include budgeting, marketing, operational execution, and partner solicitation
  • Full BEO creation and execution of Barnsley Resort Signature Events
  • Communicate to all resort partners via established BEO and Resume Meetings to ensure successful events
  • Implementation of timelines in coordination with marketing, banquets, and food and beverage team members
  • Meticulous tracking of attendees
  • Handle all vendor relations including ordering and execution of necessary rentals (fireworks, lighting, décor, entertainment, transportation, etc.).
  • Design and creation of overall themes for Signature Holidays including but not limited to Easter, July 4th Celebration and Thanksgiving

 

Qualifications

Education/Experience/Certifications:

  • Three – five years’ experience designing and executing elevated Signature Events

Knowledge/Skills/Abilities (KSA’s)

  • Experience developing and executing thoughtful events and activations
  • Excellent organizational and planning skills
  • Excellent phone, communication, and guest relation skills
  • Ability to multi-task
  • Ability to work independently with no supervision
  • A good knowledge of the surrounding areas and guest and visitor demographics
  • Excellent computer skills, including the use of Microsoft Word, Excel, and Outlook is required
  • Regular and predictable attendance
  • Ability to work a flexible schedule: Client Flow may dictate days and schedule required each week. Some weekend work and after hours may be required
