We're seeking a creative and detail-oriented Senior Event Planning Manager to join our team! In this role, you will be responsible for coordinating all aspects of events, from initial planning to execution, to ensure that our guests have an unforgettable experience. The Senior Event Planning Manager acts a liaison between the customer and hotel sales person to provide direction and supervision during execution of meeting and banquet functions or event. Will be available to customers during event to solve problems and suggest alternatives to previous arrangements. They will directly serve group and catering customers in a proactive manner working with the logistics of group room blocks, food and beverage, public meeting space, and billing processes. Oversee the detailed planning, coordination, and execution of large group meetings, conventions, and incentive events.
Serve as the primary point of contact for meeting planners after the contract is signed, maintaining clear communication throughout the event lifecycle.
Conduct detailed pre-convention meetings to ensure alignment between client expectations and internal departments.
Prepare and distribute Banquet Event Orders (BEOs), group resumes, and meeting agendas with accuracy and timeliness.
Partner closely with Banquets, Culinary, AV, Front Office, and Housekeeping teams to ensure seamless delivery of all group requirements.
Ensure all meeting setups, F&B functions, and room allocations adhere to client specifications, brand standards, and safety requirements.
Build and maintain strong professional relationships with meeting planners and corporate clients to drive satisfaction and repeat business.
Anticipate client needs and provide proactive solutions to ensure a successful event experience.
Conduct post-convention meetings or follow-ups to gather feedback and address any concerns.
Represent Frenchman’s Reef in a professional manner at all times, upholding the resort’s brand image and service philosophy.
Maximize group revenue through effective space management, upselling of enhancements, and careful review of event profitability.
Monitor group room blocks, attrition, and cancellation policies to minimize revenue loss.
Review final billing with clients to ensure accuracy and timely payment.
Collaborate with Sales, Revenue Management, and Finance to forecast and analyze group performance metrics.
