Join our team as an Executive Meeting Manager and be part of our world-class hospitality experience. As an Executive Meeting Manager, you will have the opportunity to work with our guests and clients to create memorable experiences for their events. You will be responsible for managing all aspects of events, from initial inquiries to post-event evaluations. Your exceptional communication and interpersonal skills will be put to the test as you coordinate with internal departments to ensure successful events. Manage all inquiries for small groups and meetings, focusing on business that does not require full-service sales manager involvement.
Respond promptly to client requests with accurate proposals, contracts, and detailed event information.
Conduct site visits and property tours to showcase meeting spaces, guest rooms, and resort amenities.
Negotiate rates, space, and terms within established guidelines to maximize profitability.
Develop and maintain positive client relationships to encourage repeat and referral business.
Serve as the primary point of contact for meeting planners from contract to departure.
Collaborate closely with Banquets, Culinary, AV, and Operations teams to ensure event details are properly executed.
Prepare and distribute Banquet Event Orders (BEOs), group resumes, and internal communications in a timely and accurate manner.
Monitor room blocks, cutoff dates, and attrition to manage inventory effectively.
Ensure meeting rooms are properly set according to client specifications and brand standards.
Attend pre- and post-event meetings to review details, anticipate needs, and collect feedback.
Achieve or exceed monthly sales goals and revenue targets for the small meetings market.
Maintain detailed records in the property’s sales system (Delphi.fdc or equivalent), ensuring all client communications, contracts, and changes are documented.
Partner with the Director of Sales & Marketing and the Sales Team on forecasting, group pace, and revenue strategy.
Identify opportunities for upselling meeting enhancements, F&B upgrades, and resort experiences.
